How to collaborate or share stuff on Notion?
Ways to collaborate - Overview
Notion has a couple of different ways to give different groups of users different rights to a Notion system:
Way | Notes |
---|---|
Private, Shared & Worspace sections | These are sections in the sidebar in the left pane. Drag objects amongst these sections to set their sharing configurations |
Teamspaces | Menu at the sidebar in the left pane |
Workspaces | Menu at the top of the sidebar in the left pane |
Share | Through link Share at the top-right corner of the main pane |
Share-to-web | Through link Share at the top-right corner of the main pane |
Teamspaces
Workspaces
Workspaces are quite the basis of Notion: Everything happens within a workspace and you can have only one workspace active at a time. Workspaces can be private, or belong to a team or a company. When you use workspaces for collaboration, it's - as how Notion puts it - A billable event
Guests
Sharing as guest, is an easy way to collaborate with people from outside your organization (and therefore workspace) [1]. This works for free account (up to 5 guests?). Currently (2023.02 - 2023.06), this is the way to go for me.
- Share-to-web (menu Share top right) allows you to share individual pages, even with people who don't have Trello themselves
- You can set what users can or cannot do via that link - Very handy!
